1. Scope of this Privacy Policy
This Privacy Policy applies to Personal Information collected or provided on or in connection with J-STAGE.
If there are separate regulations regarding the handling of personal information in some of J-STAGE's services, those provisions shall apply.
The defined words shall have the same meaning as defined in Terms of Use for J-STAGE.

2. Purpose of collection and use of personal information and personal data
Regarding the Service, Japan Science and Technology Agency (“JST”) collects the following information and uses it or provides it to third parties as described in this Privacy Policy based on legal basis stated below.

The personal information of the Author in the aggregated Bibliographic Information is displayed on the system for the purpose of identifying the author of Scientific and Technical Publications registered on J-STAGE and searching for their works, and in accordance with Articles 11, 12 and 13 of the Terms of Use, J-STAGE projects, and may be provided to the JaLC, JST Literature Database, and Outside Collaboration Partners. Any and all purpose can be expected when the personal information is used for investigation, analysis or research in accordance with Article 13 of the Terms of Use for J-STAGE.

For the use of personal information by Outside Collaboration Partners to whom JST provides such information the privacy policy established by Outside Collaboration Partners, as listed on J-STAGE site posted on the J-STAGE website, including laws related to personal information applicable in the place where they exist, shall apply.
Consent from the data subject and/or legitimate interest to ensure proper and undisturbed operation of J-STAGE (2) J-STAGE automatically collects access information such as the Internet domain name, IP address, and pages viewed by the visitor, but these collected data do not identify individuals.
In addition, although cookies are used, this information does not identify individuals, either.
The collected access information is used for analyzing purposes or for static purposes to understand access trends and other aspects of how J-STAGE is used and to provide more effective services. It is also used to monitor overuse and abuse, and to respond in the event of recovery for any outage. JST does not use such collected information to identify any individuals.
Cookies are also used to confirm the user's credential information.
This information may also be provided to User Organization of J-STAGE.
The collected access information may be made public after processing statistically.
Legitimate interest to achieve to ensure proper and undisturbed operation of J-STAGE (3) When using the My J-STAGE service, registering your e-mail address is required.
We collect information on favorite titles, favorite articles, favorite search profiles, additional info alerts, and citation alerts registered by My J-STAGE users, or the frequency of access and information on access pages (hereinafter referred to as "My J-STAGE User Information").
The e-mail address registered in the My J-STAGE service is used as the login ID for the My J-STAGE service, as well as for sending additional info alerts and citation alerts, and by User Organization (academic society, etc.) or to send notices from JST.
My J-STAGE User Information is used for analyzing or static purpose to understand usage trends and improve services.
This information may also be provided to Using Organization of J-STAGE.
Consent from the data subject and/or legitimate interest to ensure proper and undisturbed operation of J-STAGE (4) Any information provided to JST for filing Application for Use of services of J-STAGE (including optional services such as J-STAGE Data)
We will use this information to provide applicable service and to make contact related thereto.
In case of consent is obtained, we will use this information to provide the same to a third party for use of any services provided by outside parties of JST.
Consent from the data subject Except for the above, JST will not use the collected personal information or personal data for purposes other than those specified in this Privacy Policy, nor will it provide them to third parties. Provided however, personal information may be provided to a third party in the following cases.

2. Purposes of processing personal data
The purposes of processing the personal data that JST processes with respect to the Service are as follows:
- to provide the Service, including processing payments by users of the PPV System where relevant;
- to respond to various inquiries and the like related to the Service;
- to send announcements from publishing organizations or JST;
- to ascertain how the Service is being used, such as via access trends, and to conduct statistical analyses and use said analyses to provide services more effectively;
- to monitor any excessive or unauthorized use and to take measures in response when recovering from any system failures;
- to perform obligations under or exercise rights based on applicable laws;
- to specify the author(s) of the scientific and technical publications listed in the Service and to search for works by the author(s), and
- for “6. Provision and cross-border transfer of personal data.”

3. Legal and other bases for processing
JST processes your personal data in accordance with the legal bases prescribed in applicable data protection regulations (such as the consent of the data subject, performing contractual obligations, legitimate interests, and compliance with laws and regulations).
The provision of personal data may be required for various reasons, such as being a statutory or contractual requirement or being a necessary condition for entering into a contract. If you do not provide us with your personal data despite the fact that the provision of your personal data is necessary, JST may not be able to provide you with the Service.

4. Retention period for personal data and related matters
JST keeps personal data accurate and up-to-date within the extent necessary for the achievement of the purposes of processing. However, JST shall retain personal data for a certain period of time as required by law, or until consent is withdrawn in the case of data processing based on the consent of the data subject, and delete the data promptly and securely after the expiration of such period. In addition, for legal requirements, security, protection needs, or other legitimate reasons, personal data may be retained after receiving a data subject’s request for erasure, provided that the data subject is notified and only for the necessary period of time. In addition, in order to decide the appropriate retention period for personal data, JST considers the following: the volume, nature, and confidentiality of the personal data; the potential risk of damage caused by unauthorized use or disclosure of the personal data; the purposes for which JST processes the personal data, and whether JST can achieve those purposes by other means; and applicable legal requirements. If JST no longer needs your personal data, JST will delete or anonymize your personal data, or if such measures are impracticable (for example, if your personal data has been stored in back-up archives), we will retain your personal data safely until its deletion becomes practicable and ensure that any new processing will not be conducted with respect to your personal data.

5. Sources of personal data
JST obtains your personal data directly from you (including in cases where personal data is obtained automatically). However, we may obtain your personal data indirectly from a third party in the following cases:
- when obtaining personal data on authors of published articles from the publishing organization;
- when acquiring personal data on subscribers of published articles from the publishing organization;
- when acquiring personal data from databases of bibliographic and location information on electronic academic content, such as the Japan Link Center; and
- any other cases where personal data is lawfully obtained from a third party (including public information).

6. Provision and cross-border transfer of personal data
JST provides the personal data stated in “1. Categories of personal data that JST processes” to a third party in the following cases in order to fulfill the purposes stated in “2. Purposes of processing personal data”:
- provision to Service users;
- provision to Japan Link Center, JST Literature Database, and external collaborators(Check here for details.).
- sharing of personal data to service providers (including operating companies and, where payments are made by users of the PPV System, payment services providers) with whom we engage in order to fulfil the purposes stated in “2. Purposes of processing personal data”;
- provision to publishing organizations;
- sharing of personal data that is required by laws or orders of governmental agencies and the like;
- sharing of personal data with a third party that is necessary for the protection of the life, person, or property of JST, the data subject, or a third party, and is permitted by applicable personal information protection laws;
- when we have the consent of the data subject; and
- any other case that is permitted by applicable data protection regulations.
JST may transfer personal data to countries and regions to which transfer of personal data is necessary in order to fulfil the purposes stated in “2. Purposes of processing personal data.”

Therefore, it is not possible to specify the country to which the author’s information will be transferred, and information regarding the personal data protection system of the country to which the information will be transferred cannot be provided. However, reflecting on our service usage history, the primary foreign jurisdictions (excluding the U.K and the EEA countries) that we anticipate receiving personal data, and the overview of their personal information protection systems (linked), are as follows:

2. Overseas transfer of personal data
If JST transfers personal data which is subject to the GDPR to areas other than the EEA (European Economic Area) or the U.K., JST (i) will conduct the transfer based on an adequacy decision (GDPR Article 45) in the countries where the adequacy decision is adopted or (ii) where required, will take appropriate protection measures by executing the standard data protection clauses approved by the European Commission (GDPR Article 46, Paragraph 2, Item (c) and Paragraph 5) or the standard data protection clauses approved by ICO (UK GDPR Article 46, Paragraph 2, Item (d)) with the party receiving personal data in the countries where an adequacy decision is not adopted or (iii) in the case of personal data of authors of published journal articles only, only make transfers which are necessary for the performance of a contract (GDPR Article 49(1)(c)). - Right to withdraw your consent: You have the right to withdraw your consent at any time by the means separately specified at the time we obtain your consent. However, your withdrawal of consent does not affect the lawfulness of processing conducted based on your consent before the withdrawal.
- Freedom from automated decision-making: You have the right not to be subject to automated (meaning without human involvement) decision-making that produces legal effects or significant effects on you, when certain conditions are met (GDPR Article 22).
- Right to instruct us regarding the use (retention, deletion, and disclosure) of your personal data after your death and you can change or revoke such instructions at any time. (France only)
Regarding our processing of your personal data, you may lodge a complaint with the relevant data protection supervisory authority of the member state where your habitual residence, your place of work, or the place of the alleged infringement, is located (GDPR Article 77).
