Electronic documents which are undecided the record schedule, increase in the shared folder and prevent retrieval of other electronic files. And finally, the convenience of the shared folder as a library decreases. In order to solve this problem, author proposed three counterplans. (1) The Rules of electric documents saving for assisting to decide the record schedule. (2) The visualized pictures which enable to grasp the overview of shared folder and specify the unnecessary documents. (3) The folder structure considering the Shared range of electric documents. It was found that all three countermeasures can actually be applied to a shared folder. Particularly, visualized pictures were also found to have utility for understand the progress of organizing electronic documents.
