In order to realize truly meaningful management and usage for its users, it is necessary for organizations that store and manage records, such as archives, to strive to preserve and manage records so that the shape and contents of such records are maintained.
Therefore, in order to consider an effective method of preserving and managing records from the perspective of its users, out of the various records available, and out of the documents relating to the compiled history of Hojomachi (Hojo Town), those which are currently managed by the Fukuchi Town Board of Education were analyzed for their conservation history.
In this present study, the question revolves around how the records were passed down in regards to its conservation history. The intent is to grasp the conditions of the preserved documents in relation to the structure of its document groupings and attempt to analyze how those documents were organized and stored under what environment and situations.
Analyzing such data could lead to the understanding of the reason why such records were kept in the first place. It is thought that such an understanding would point to the perspectives necessary when preserving and managing records for the purpose of being used.
As the result of such examinations, it is thought that the records management system influences deterioration. And remarkable chemical degradation could be found, primarily based on the chemical changes of the materials themselves, which has led to consider the necessity of pointing to the conservation and management methods which controls the temperature and moisture of the environment in the archive and to protect that materials from exposure to outside air.
Under these circumstances, it was also pointed out that an effective preservation method would be to compile the papers into files, which would itself protect the papers, and if they were to be organized in a way for future usage, this would make the paper less susceptible to degradation. It was also stated that the intent of having the items used leads to effective preservation.
Furthermore, as a direction of conservation and management, it is thought that being aware of each of the stages in the life cycle of a document and considering its corresponding measures and methods of preservation based on the needs of each of those stages would be an effective way for conservation and management.
